Job Responsibilities:

As a Front Desk Receptionist/Clerk at Rodriguez Construction Group, you will be expected to represent the organization professionally at all times and contribute to a well-organized, efficient office environment. The following responsibilities are intended to describe the general scope of work being performed in this role:

  • Maintain a clean, organized, and welcoming front desk and common office areas throughout the workday
  • Communicate proactively with the Executive Administrator regarding supply levels, delivery schedules, and any operational issues requiring attention
  • Exercise discretion when handling confidential mail, packages, and sensitive company information
  • Demonstrate reliability, punctuality, and a willingness to assist across departments as workload requires
  • Ensure proper document storage on RCG drives; assist with onboarding employee documents, prep folders, scan and organize for file cabinets, and on RCG’s S drive when applicable

Job Qualifications/Skills:

As the Front Desk Receptionist, you will need to be a team player, detail-oriented, highly organized, hardworking, and able to effectively manage multiple tasks simultaneously and work under pressure to meet/set goals, budgets, and deadlines. Specific qualifications/skills include:

  • Outstanding organizational, written, and verbal communication skills required and ability to communicate effectively both internally and externally
  • Ability to work within spreadsheets and databases
  • Ability to work under time pressure and adapt to changing requirements with a positive attitude
  • Ability to work under pressure, meet deadlines, and be able to work in a fast-paced environment
  • Ability to work effectively with minimal supervision and possess good organizational skills.
  • Ability to work independently and as part of a team

Education and Experience Requirements:

  • High school diploma or equivalent required
  • Previous experience as a receptionist, administrative assistant, customer service, or front office role preferred
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic computer applications
  • Ability to learn company-specific software and office systems
  • Experience operating phone systems
  • Reliable attendance and punctuality; this role will be an in-office role with times to be defined once hired

This position serves as the first point of contact for all visitors, vendors, and incoming communications at the RCG office. This role is responsible for maintaining a welcoming and organized front office environment while providing essential administrative, facilities, and safety support to the broader team. This position is also responsible for monitoring, restocking, and organizing all office and kitchen supplies across both the Mezzanine and 3rd floor office spaces. Additional duties may be required to help support the Executive Administrator and Administrative team, such as NYS Mandatory Postings, Job Board and COI Packets, Meeting Minutes, Safety Files and Boards, Staff Logs and Training Records.
